HOW THE EMAIL APPENDING PROCESS WORKS...
Dunhill International follows the Direct Marketing Association
(DMA) Guidelines for Email Appending. Under the guidelines, one of the
following conditions must be met:
- A customer's email address should not be appended to a marketer's
database unless the consumer gives the marketer permission.
- There is an established business relationship with the consumer.
- The emails that are appended come from sources that provide notice
and choice about third party email offers and the consumer did not
opt-out.
- Reasonable efforts are taken to ensure the appending of accurate email
addresses to the corresponding consumer records.
Marketers are not allowed to sell, rent transfer or exchange and appended
email unless the consumer is given notice and choice about the action
the marketer plans to take. All messages to an email appended address
should include a choice to opt-out. Finally, marketers are required to
keep appropriate records that show they are in compliance with the guidelines.
Ultra sophisticated software now
allows us to append email addresses to your customer and inquiry list.
- The growing need to market on the Internet
is apparent, especially in light of the increasing cost of traditional
direct mailing.
- Email Appending is matching an individual's
unique name and postal address with an Email address. Using propriety
Email Appending technology, the database is consistently refreshed
on a daily basis with the most current Email addresses possible. This
means that returned records have been passed through the most reliable
sources possible for the optimal accurate provision of Email addresses.
Once appended, a permission request program is created with criteria
that meets specific requirements and industry standards to Opt-in each
individual.
- Brick and Mortar Companies need an efficient
means of keeping costs down and profits up. What better way than
to acquire Email addresses for their existing customer or inquiry databases
than permission granted Email appending and subsequent sales solicitations?
- Currently the Email match ratio is better
and better for both Business-to-Business and Consumer Email Appending.
This provides clients a reliable way to acquire up to 40% of your terrestrial
database with the most current and deliverable permission granted Email.
- Upon receipt of the files. Proprietary
software seeks to correlate an Email address to a given individual
name and address, if applicable, by company name. Many records will
not be located simply because they do not have Email addresses or because
of the name variations in spelling and hyphenations.
- Even if the database has duplicates, all
files are merged to purge the duplicates. An Email is then sent
to the prospect requesting their permission to send them a communication
from the client in the future by Email with specific information, offers,
etc.
- The recipient can opt-out by replying with
a remove request and opt-in by default. Once the remove requests
have been deleted, a second Email can be sent to affirm positively
their acceptance to receive further communication with offers and promotions
from the client.
- Any solicitations or offers in the initial
permission request are not permitted in accordance with anti-spamming
regulations and ethics. All recipients that request to be removed
from the mailing will be deleted from the Email list. During the opt-in
process, files are held for over 72 hours to give recipients ample time
to "opt-out". Those people that do not request to be removed will remain
on the list.
- Additionally, during the permission process,
a large number of appended Email addresses are removed from the list
because the opt-out letter is returned as "undeliverable". This
happens for a variety of reasons, including changes in internet service
providers, changes in employment and residence. By removing the undeliverable
and remove request addresses, it is assured that the completed files
returned to the client are as "clean" as possible. These procedures
are adhered to with all efforts to maximize effectiveness and to assuage
any false indications of "spamming."
