HOW THE EMAIL APPENDING PROCESS WORKS...


Dunhill International follows the Direct Marketing Association (DMA) Guidelines for Email Appending. Under the guidelines, one of the following conditions must be met:

  • A customer's email address should not be appended to a marketer's database unless the consumer gives the marketer permission.
  • There is an established business relationship with the consumer.
  • The emails that are appended come from sources that provide notice and choice about third party email offers and the consumer did not opt-out.
  • Reasonable efforts are taken to ensure the appending of accurate email addresses to the corresponding consumer records.

Marketers are not allowed to sell, rent transfer or exchange and appended email unless the consumer is given notice and choice about the action the marketer plans to take. All messages to an email appended address should include a choice to opt-out. Finally, marketers are required to keep appropriate records that show they are in compliance with the guidelines.

  • Any solicitations or offers in the initial permission request are not permitted in accordance with anti-spamming regulations and ethics. All recipients that request to be removed from the mailing will be deleted from the Email list. During the opt-in process, files are held for over 72 hours to give recipients ample time to "opt-out". Those people that do not request to be removed will remain on the list.


  • Additionally, during the permission process, a large number of appended Email addresses are removed from the list because the opt-out letter is returned as "undeliverable". This happens for a variety of reasons, including changes in internet service providers, changes in employment and residence. By removing the undeliverable and remove request addresses, it is assured that the completed files returned to the client are as "clean" as possible. These procedures are adhered to with all efforts to maximize effectiveness and to assuage any false indications of "spamming."

  • All undeliverables and opt-out requests are deleted from the base file. The net file comprises opt-in or permission based email addresses and are returned to our client.
